Administrative Assistant | Receptionist

(Full-Time Position)

$42,000 - $52,000 per year, commensurate with experience

C2 Design Group is looking for an Administrative Assistant/Receptionist to join our team in our Schenectady, NY office! We have been named an Albany Business Review "Best Place to Work".

Responsibilities

Perform administrative duties at the reception front desk, including:

  • Support Owner and C2 team members with various tasks
  • Answering phone
  • Interaction/transaction with visitors, vendors and staff
  • Management of office supplies and equipment and vendors, i.e. cleaning and lawn maintenance companies
  • Distribution of mail
  • Correspondence with building vendors
  • Make deliveries (as needed)
  • Coordinate lunch and learns with vendors and track signups for professional credits
  • Coordinate and organize meetings
  • Log-in invoices and coordinate with Accountant
  • Maintain files / dead files
  • Track employee time off requests
  • Assist/Support with team-building and other celebratory office events, as needed

Requirements / Qualifications


Qualified candidates will have a minimum of 3-5 years of previous administrative experience. Experience working for an architecture, engineering or construction firm preferred, but not required.

  • Associate or Bachelor’s degree or commensurate work experience
  • Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Professionalism and effective written and verbal communication skills is a must
  • Excellent prioritization, organization and time management skills
  • Ability to perform multiple tasks independently
  • Ability to work effectively as part of a team
  • Ability to draft professional documents without spelling, grammar or other errors
  • Familiarity with software including Adobe Acrobat/ Blue Beam or Sage Services Operations, is a plus
  • Desire to learn and be part of a collaborative design team
  • Notary Public or willingness to pursue, is a plus
