Location: Full-time, on-site, Albany, NY

FLSA Status: Exempt Department: Finance and Operations
Salary: $75,000 - $85,000
Position Summary:
The Director, Grants Management leads the full lifecycle of grant and contract administration—from pre-award through post-award compliance and reporting—ensuring alignment with organizational goals and all regulatory requirements. The Director oversees and optimizes grants management systems and processes to improve efficiency, accountability, and impact, while working closely with internal teams, external partners, and sub-awardees. Responsibilities include grant compliance, financial oversight, budgeting, forecasting, and audit support in collaboration with accounting.
Key Responsibilities – Grants/Contracts:
Leadership & Management
• Lead and manage the grants and contracts process, setting clear goals and timelines.
• Develop and implement policies, procedures, and systems for effective grant and contract management.
• Maintain a detailed grants calendar with deadlines for proposals, reports, and renewals
• Collaborate with executive leadership to align funding strategies with organizational priorities.
Grant Application Development
• In collaboration with program teams, co-develop grant budgets that support staff funding, capacity-building initiatives, and organizational growth.
• Help analyze funder budget requirements and regulations.
• Lead the preparation and submission of grant proposals, letters of inquiry, and applications.
• Review funding opportunities, request for proposals (RFPs), and solicitations to assess feasibility and alignment.
• Ensure timely and compliant submission of applications.
Award Contracting
• Lead acceptance of grant and contract awards, including terms and conditions.
• Coordinate with teams to execute contracts and subawards.
Post-Award Administration
• Monitor grant budgets, expenditures, and financial reporting to ensure compliance with funder requirements.
• Ensure appropriate allocation and tracking of grant funds, in alignment with awarded budgets
• Work with staff to monitor performance against grant goals and assist with impact reporting
• Work with staff on budget modifications and reporting issues.
• Lead the preparation and submission of payment request vouchers and ensure timely submission of interim and final reports to funders.
Compliance & Risk Management
• Maintain accurate records of grant applications, awards, correspondence, and reports
• Ensure all documents and communications comply with funder guidelines and regulations
• Stay current with federal, state, and private grant regulations (e.g., Uniform Guidance/2 CFR Part 200).
• Respond to external audit or funder inquiries related to grants and contracts.
• Develop SOPs and internal policies for staff on grants management and compliance.
• Maintain grant eligibility requirements on federal, state, and private grant management sites
• Maintain organization compliance
Qualifications:
Education & Experience
• Bachelor’s degree in finance, accounting, business administration, or related field.
• Minimum 5–7 years of progressive experience in grants and contracts administration.
• Knowledge of state and federal grant regulations, as well as private foundations.
Skills & Competencies
• Excellent organizational, analytical, and problem-solving abilities.
• Strong understanding of financial management, budgeting, and accounting principles.
• Familiarity with grants management systems (e.g., Salesforce or similar platforms).
• Strong communication and interpersonal skills.
