Position Summary
We are seeking a detail-oriented and dependable Fuel Billing Specialist to manage customer invoicing, fuel tax reporting, and compliance-related tasks. This is a key position within our business, supporting daily operations and financial accuracy. The role includes handling accounts receivable (invoicing and payment collection) and accounts payable functions, such as issuing refunds or adjustments as needed.
Note: This is not a medical billing position. Experience in transportation, logistics, or general business billing is preferred.
Key Responsibilities
Prepare accurate customer invoices based on fuel deliveries and dispatch logs
Match Bills of Lading (BOL) with daily delivery tickets and reconcile discrepancies
Track fuel volume reporting for regulatory purposes
Prepare and file monthly and quarterly fuel tax returns (state and federal)
Manage accounts receivable: apply customer payments, monitor outstanding balances, follow up on overdue accounts
Handle accounts payable tasks related to customer refunds or invoice corrections
Support audit preparation and records retention
Communicate professionally with customers regarding billing questions
Coordinate with dispatch and accounting teams to ensure data accuracy
Preferred Experience & Skills
2+ years in billing, accounting, or invoicing (fuel, construction, logistics, or utility industries a plus)
Candidates with billing experience outside of healthcare are strongly preferred
Strong working knowledge of accounts receivable and accounts payable
Self-starter with excellent time management and follow-through
Strong attention to detail and organizational skills
Proficient in Excel and comfortable using accounting or dispatch software
Familiarity with fuel tax reporting (training can be provided)
Familiarity with Odoo and AXXIS is a plus
Dependable, team-oriented, and comfortable in a small-business setting
