The Office Administrative Assistant role focuses on three main objectives when assisting the Financial Advisor:
- Client Service - To help deliver an outstanding client engagement experience.
- Marketing Support – To help maximize community awareness and exposure through various ongoing communication, education and outreach campaigns.
- Administrative Support – To assist in further documenting and systematizing the practice.
Duties and Responsibilities:
- Servicing existing client relationships:
- Delivering established Client Service Models through a mix of scheduled routine (outbound) client service phone calls and email campaigns
- Facilitating client meetings (e.g.: scheduling, and managing the pre- and post-meeting file, following up with service tasks)
- Onboarding new client relationships, (e.g.: setting up new accounts and processing the transfer-in of new relationship assets)
- Administrative Support:
- Maintaining office Contact Relationship Management Database (CRM) for use in efficiently managing various outreach campaigns
- Running multiple Branch and Client status report
- Maintaining branch compliance files
- Marketing Support:
- Facilitating planned speaking engagements/seminars and networking events hosted throughout the year (e.g.: scheduling venue, approvals, materials, etc.)
Managing ongoing social media posts and semi-automated email distribution lists
Maintaining an electronic library of brochures and presentations
Required Knowledge/Skills/Traits:
- Polished professional etiquette and interpersonal skills when in-person or over the telephone
- Cohesive writing capability
- Ability to manage multiple projects and assignments
- Ability to manage and improve any detail-oriented process
- Demonstrable command of various Microsoft Office products (Word, Excel, Outlook) and how a Client Relationship Manager (CRM) database operates

Education & Experience Requirements:
- Minimum of two years in prior administrative role
- Experience in marketing, finance or insurance industry is preferred, but not required
- College degree preferred but not required
- High School Diploma/Equivalency required
